Executive Assistant (Permanent Full-Time)

Reporting to the Chief Administrative Officer, the Executive Assistant provides a broad range of administrative support for the day-to-day operations of the Town. This position is key in the organization and maintenance of records, schedules, minutes and other information of a highly confidential nature. The Executive Assistant provides support to other departments as needed such as Fire, Corporate Services, Police and the Exploits Regional Water Supply Committee.
DUTIES
- Responsible for the in-house administrative tasks for Council, CAO office and other departments as required.
- Responsible for controlling and maintaining confidential information of the Council, The Mayor, CAO and Directors.
- Responsible for maintaining records for tasks assigned to management and carrying out appropriate follow-up.
- Supports the coordination, planning and administration of municipal elections.
- Compiles monthly reports for Fire Department, Municipal Police Department and Exploits Regional Water Supply Committee.
- Recommends and coordinates training programs to keep support staff up to date with current demands.
- Travel throughout the Town to perform errands that support the CAO office, Mayor and Council.
- Performs general daily clerical duties such as minute-taking, typing, filing, distributing information, preparing and sending mail.
- Prepares larger documents such as collective agreements, job description manuals and annual budgets by typing, formatting and collating them.
- Undertakes other related duties as outlined in the Town of Grand Falls-Windsor Job Description Manual for this position.
SALARY
As per the Town of Grand Falls-Windsor Salary Scale (Job Class 3: $55,801 – $60,466).
QUALIFICATIONS
- Successful completion of a two-year office administration program from a recognized college.
- Minimum of 5 years of practical experience.
- Excellent judgement, interpersonal, organizational and secretarial skills.
- Demonstrated ability to exercise discretion and diplomacy when dealing with sensitive and confidential matters.
- Experience and skill in the use MS Office programs and Adobe Acrobat.
- Demonstrated ability to work independently and with minimum direction.
- Proven ability to work in a fast-paced environment with demonstrated critical thinking skills.
- Excellent oral and written skills.
- An equivalent combination of education and experience may be considered for an exceptional candidate who does not meet the required qualifications.
